We are seeking a Studio Coordinator to become an integral part of our Baltimore office to support the daily operations of the studio by assisting principals with administrative functions and enabling our Design Team to better serve our clients.

Roles & Responsibilities

Office Management: The Studio Coordinator is responsible for ensuring that everything has a place, and everything is in its place. They will help develop the systems that keep us running smoothly and efficiently by managing office supply inventory, maintaining and organizing our materials library, ensuring office facilities are prepared and presentable for internal and client meetings, receiving and sending physical mail, and coordinating office meals. 

Client Concierge: The Studio Coordinator is responsible for maintaining our unreasonable hospitality ambitions. They will play a significant role in representing the company to the public. The Studio Coordinator will greet guests to the studio and answer phone calls. They are responsible for managing Client communication including responding to new project inquiries, onboarding clients, drafting weekly project updates, maintaining our Client Portal, and sending and receiving the necessary documents to ensure smooth project delivery. Executive Assistant: The Studio Coordinator is responsible for assisting the principal. They will help with administrative tasks including managing the executive calendar, maintaining the CRM, preparing and delivering proposals, preparing and delivering invoices, taking meeting minutes, and assisting with project performance tracking. Permit Tracking: The Studio Coordinator is responsible for keeping our permitting process running smoothly. They will assist with submitting building permit applications, tracking progress and communicating review status and comments to the Design Team. We hope you take pride in your attention to detail and empathy for folks with a difficult job, because your meticulous nature and kindness will help transition projects from design to construction.

Special Projects: The Studio Coordinator is responsible for guiding out efforts to be a leading Architectural firm. They will assist in facilitating studio-sponsored events, quarterly initiatives, charitable projects, Lunch & Learns, award submissions, and our evolving Gratitude Program.   • Bachelor’s Degree preferred but we care more about your desire to learn.
  • 2-5 years of administrative experience
  • Curious and eager to learn
  • Adept at verbal and written communication
  • Comfortable with engaging varied tasks simultaneously
  • Proficient in Microsoft Office programs
  • Knowledge of Adobe Creative Suite, specifically InDesign, preferred but not required
  • Excellent, articulate verbal and written communication skills
  • Ability to multi-task and follow through with a variety of tasks
  • Punctual and highly organized
  • Valid driver’s License & reliable vehicle
  • Graphic design experience preferred but not required
  • Residents of Baltimore City preferred
  • Ready to work in the studio and engage with the team
  • Possess a curious mind & positive attitude

Compensation & Benefits

  • 30 hours per week
  • $37,500 salary
  • Health + Dental
  • 401k w/ 4% match
